Exhibit Booth Rental Fee

  • All booths are 10’ x 10’ with pipe and drape around the sides and back.

  • Each in-line booth is $1,500 USD (Early Rate) until Friday, August 5 when rates revert to the regular rate of $2,000 per 10' x 10' booth.  
     

Included with Each Exhibit Booth

  • One (1) ID sign with the company name and booth number

  • One (1) table

  • Two (2) chairs

  • One (1) complimentary exhibit personnel badge

  • Company logo and description in the on-site guide
     

Items such as carpeting, equipment rental, internet, electrical, miscellaneous services, and janitorial services may incur additional charges. Details will be provided in the Exhibitor Services Kit once payment is received.

Security

Security will be provided in the evenings when the exhibit hall is closed. Security and the protection of special valuable items are the responsibility of each exhibitor at the exhibitor’s own expense.

Exhibit Booth Rental Fees and Space Assignments
All exhibit booths will be 10’ x 10’. The fee for a single booth is $1,500 USD.  Fees go back to the regular price of $2,000 on August 5. Full payment for each booth must accompany the Exhibitor Application to reserve space and receive the Exhibitor Services Kit.  Exhibit booths will be assigned in order of the exhibitor’s preference on a space-available basis with reference to the order in which applications accompanied by full payment have been received.
 

Cancellation and Refund Policy
Notification of cancellation must be made in writing to info@HFES.org. If space is canceled before Friday, September 2, 2022, a refund in the amount paid, less 50% (USD), will be issued. No refunds will be issued after September 2, 2022, after which all sales are final and non-refundable.


Exhibitor Badges
All exhibitors must register for badges. One (1) complimentary badge for exhibit personnel will be included with each 10’ x 10’ exhibit booth space. Up to two (2), additional badges for exhibit personnel are available for purchase at the discounted registration rate of $395 USD each. The deadline for exhibitor staff registration is Friday, October 7, 2022. Exhibit personnel badges are to be used only by company personnel working at the exhibit booth. Exhibit personnel badges allow entry to educational sessions.


Exhibitor Services Kit
The Exhibitor Services Kit will be available to fully paid exhibitors by August 15, 2022. The services kit contains order forms and information regarding move-in and move-out of exhibits, labor, shipping, utilities, and other supplies and services.
 

Company Description and Logo for the Onsite Program
A 50-word description and black and white or color logo for each exhibiting company will be included in the Onsite Program.  Word counts are greater for sponsors. Please see below.  Please submit your company’s description and high-resolution logo in .jpg format to HFES along with your application.

Reception
The opening reception for ErgoX takes place in the exhibition area on Friday, October 14 from 5:00 p.m. to 6:00 p.m.
